Life Cycle of a Mobile Form

< All Topics

A Mobile Form can be in four different states depending on what actions have been taken on the form. The goal is to have all forms in the FINALIZED state. Here is how a form proceeds from state to state:

  1. An employee fills out a new form by answering all the required information (see “Filling Out a Form“). After signing the form, they submit the form by clicking Next and can either:
    1. Assign it to a Supervisor (this could be a required step). The form will be now “Submitted” and will be sent to the Supervisors phone next time they sync.
    2. Assign it to a Manager (this could be a required step). The form will be now “Submitted” and will be sent to the Managers phone next time they sync.
    3. Alternatively, if the finalize option is present, the employee may finalize the form and it is now complete

2. The supervisor that was assigned will now have access to the form via “Requiring My Attention” where they can view the submitted form. Once reviewed, the supervisor needs to sign the form. The form will be labelled “Reviewed” and the supervisor can now:

    1. Assign it to a Manager (this could be a required step). The form will be now “Submitted” and will be sent to the Managers phone next time they sync.
    2. Alternatively, if the finalize option is present, the supervisor may finalize the form and it is now complete

3. The Manager that was assigned will now have access to the form via “Requiring My Attention” where they can view the submitted form. Once reviewed, the Manager needs to sign the form. The form will be labelled “Reviewed”.  The manager should now finalize the form by tapping on Next

Now your form has been finalized and can no longer be edited.

You can identify the state forms are in by looking at their colour coded labels in the “View Previous” tab.
